Office Manager
General
Purpose: To code (voucher) invoices in preparation
for payment. To work with the Regional Vice President, Marketing
Director, Warehouse Manager, Purchasing Agent, Corporate
Accounts Receivable Department and any CPA consultants to
maintain and upkeep and maintain the regional (or field)
accounts payable
Qualifications: High School Graduate (Diploma) or equivalent.
Required
Knowledge, Skills, Training, & Abilities:
- Successful
completion of all scheduled New Employee Orientation Programs.
- Successful
completion of all training requirements.
- Skill
to read, write, and perform both mathematics calculations
and the English language effectively.
- Ability
to work independently and be detail oriented.
- Ability
to lift
or carry 25 lbs.
- Ability
to operate office equipment knowledgeably.
- Ability,
knowledge, and skill to use ten key calculator
or
pad.
- Ability
to communicate independently and
Primary
Functions:
- Verify
and approve all incoming invoices for payment by corporate
accounts payable department (with exception of P.O.’s)
- daily.
- Code
(voucher) invoices in preparation for payment from the corporate
office - daily. Match purchase orders
with packing slips, invoices, and verify quantity ordered
agrees with quantity received - daily.
- Deposit
customer and insurance company payments and sweep the account
- daily.
Photo duplication of invoices - daily.
- Responsible
for processing
petty cash reimbursement forms with original receipts
to corporate accounts payable department and question unusual
purchases or supplies - monthly.
- Submit
expense sheets for reimbursement of travel expenses and work
related
expenditures - monthly.
- Refund
customer money on returned items, over-billed
customer accounts, or insurance carrier overpayments
-
as
needed. Assist Purchasing Agent and enter invoices
into the computer - daily.
- Maintain
in compliance with Joint Commission guidelines -daily.
Auxiliary
Functions:
Other duties and responsibilities as assigned,
which may include, but are not limited to:
- Back-up
receptionist.
- Mail
clerk.
- Minimal
travel requirements.
